LogicManager Privacy Policy

1. Scope & Applicability

This Privacy Policy explains how LogicManager, Inc. (“LogicManager,” “we,” “us,” or “our”) collects, uses, and protects Personal Data when you:

  • Visit our website and interact with our marketing content
  • Submit your information through contact forms, demo requests, or downloads
  • Apply for a job or submit a resume
  • Communicate with us for sales or customer service inquiries

This policy does not apply to Personal Data and Customer Data collected and processed within the LogicManager Platform by our Customers. Such data is governed by our Data Processing Agreement (DPA).

By using our website or submitting personal information, you consent to the terms of this Privacy Policy.

2. Definitions

“Applicable Data Protection Law” refers to all data privacy or data protection laws that apply to the Processing of Personal Data under this Privacy Policy, including:

  • General Data Protection Regulation (EU) 2016/679 (GDPR)
  • UK GDPR and UK Data Protection Act 2018
  • Swiss Federal Act on Data Protection (FADP)
  • California Consumer Privacy Act (CCPA) and other applicable U.S. state privacy laws
  • Relevant U.S. federal laws, including GLBA, HIPAA, and other sector-specific regulations

“Customer Data” means any data, information or material provided or submitted by Customer to the Service.

“Personal Data” (also referred to as ‘Personal Information’ or ‘Personally Identifiable Information (PII)’) means any information related to an identified or identifiable natural person, as defined under Applicable Data Protection Law.

“Platform” refers to the LogicManager technology, including its software, infrastructure, and associated components, provided to the Customer for accessing and utilizing the Service. This encompasses web interfaces, data management, encryption, hosting, and APIs as specified in the applicable Order Form.

“Processing”, “Processes”, “Process” have the meaning set forth under Applicable Data Protection Law.

2. Information We Collect

2.1 Website Visitors & Marketing Data

When you visit our website or interact with marketing campaigns, we may collect:

  • Basic contact details: Name, email, phone number, job title, company name
  • Website activity: Pages visited, time spent on pages, IP address, browser type, referral source
  • Marketing interactions: Responses to emails, form submissions, webinar participation, event registrations
  • Cookies & tracking technologies: Usage data for website analytics (see Section 5: Cookies & Tracking)

2.2 Job Applicant Data

If you apply for a job at LogicManager, we may collect:

  • Resume & employment history
  • Education & professional qualifications
  • LinkedIn profile or other public professional information
  • References and interview notes
  • Background check information (as permitted by law)

2.3 Customer & Business Contact Information

If you are a prospective or existing customer, we may collect:

  • Business contact details of employees engaging with us (e.g., name, title, company, work email, phone)
  • Customer support communications (e.g., emails, chat logs, call recordings)
  • Billing & contract information related to service agreements
  • Service usage information

We do not process Customer Data within the LogicManager platform for marketing purposes. Customer Data processed in our platform is governed by our DPA.

3. How We Use Your Information

3.1 Website & Marketing

We use Personal Data collected through our website to:

  • Respond to inquiries, demo requests, and content downloads
  • Provide relevant marketing communications based on interactions (you may opt out at any time)
  • Improve website performance and user experience

3.2 Job Applicant Data

We use job applicant data to:

  • Evaluate qualifications and assess candidates for open positions
  • Communicate about job applications and hiring decisions
  • Conduct background checks where legally permitted and required
  • Maintain records of applications for future job opportunities (candidates can request deletion at any time)

3.3 Business & Customer Interactions

For customers or prospective customers, we use data to:

  • Provide product demonstrations and business proposals
  • Communicate about contracts, renewals, and service updates
  • Deliver customer support and respond to inquiries

We do not sell or share Personal Data or Customer Data under any circumstances, including for marketing, advertising, or any commercial purpose. 

4.1 Service Providers & Partners

We may share Personal Data with trusted third-party service providers who assist us in delivering our services. These providers are contractually obligated to process Personal Data only in accordance with our instructions and in compliance with applicable data protection laws.

Additionally, we may store Personal Data in third-party vendors who that support our operations, including:

  • Website analytics providers (e.g. Google Analytics, HubSpot, Wistia, G2, Crazy Egg, Storylane)
  • Marketing automation & CRM platforms (e.g. Hubspot, Zoominfo)
  • Recruiting & HR software (e.g. Lever, LinkedIn, Checkr)
  • Customer support tools: We use HubSpot and Pendo for customer support interactions and Gmail for email communications. For escalations related to enhancements and defect remediation, we use the LogicManager platform to track and manage tickets internally.

4.2 Legal & Compliance Disclosures

We may disclose Personal Data if required by law, court order, or regulatory request. Where permitted, we will notify affected individuals before disclosure.

5. Cookies & Tracking Technologies

We use cookies, tracking pixels, and similar technologies to analyze website traffic, improve functionality, and personalize user experiences.

5.1 Types of Cookies We Use

  • Essential cookies: Required for website functionality (e.g., login, security)
  • Analytics cookies: Track visitor behavior for site improvements (Google Analytics, HubSpot)
  • Marketing cookies: Measure engagement with emails, ads, and content downloads

You can manage cookie preferences or disable tracking in your browser settings.

6. Data Retention & Security

6.1 Data Retention

  • Marketing data (such as email addresses and engagement records) is automatically deleted after 3 years of inactivity, unless required by law to be retained longer.
    • Inactivity is defined as no interactions with emails, website visits, or other engagements within the 3-year period.
    • If you opt out of marketing communications before the 3-year period, your data will be immediately removed from our marketing systems, except where necessary to comply with legal obligations.
    • To prevent accidental re-marketing, your email address may be maintained on a suppression list, which is used only for compliance purposes and not for marketing activities.
  • Job applicant data is retained for 12 months for future job opportunities, unless you request deletion.
  • Business contact data is retained as necessary for contract management and service delivery, in compliance with our contractual and legal obligations. Once no longer required, data will be securely deleted or anonymized in accordance with applicable data protection laws.

7. Your Rights & Choices

LogicManager complies with all applicable data privacy and data protection laws. Depending on your location, you have the following data protection rights:

7.1 Access, Correction & Deletion

You may request:

  • Access to your Personal Data
  • Correction of inaccurate information
  • Deletion of your data (subject to legal and contractual obligations)

7.2 Opt-Out of Marketing Communications

You can opt out of marketing emails at any time using the unsubscribe link in emails or by contacting us.

7.3 Additional GDPR Rights (For EU/UK/Swiss Residents)

If applicable, you may also:

  • Restrict or object to data processing
  • Request data portability (receive your data in a structured format)
  • Withdraw consent where processing is based on consent

8. International Data Transfers

LogicManager is headquartered in the United States and processes data in the U.S.

If you are in the EEA, UK, or Switzerland, all international data transfers to LogicManager are governed by the Standard Contractual Clauses (SCCs) as incorporated in our Data Processing Agreement (DPA).

Applicability of SCCs:

  • The SCCs apply automatically to all customers, including those with agreements predating the adoption of the 2021 SCCs.
  • By continuing to use LogicManager’s services, you acknowledge that these SCCs govern cross-border data transfers.
  • LogicManager has conducted a Transfer Impact Assessment (TIA) and implemented supplementary measures, including encryption and pseudonymization, to ensure compliance with GDPR.

9. Children’s Privacy

LogicManager’s services and website are intended for business use only and are not directed at individuals under the age of 18.

  • We do not knowingly collect Personal Data from minors.
  • If we become aware that a minor has provided Personal Data, we will delete it immediately.
  • If you believe a minor has submitted Personal Data to us, please contact us at privacy@logicmanager.com.

10. Changes to This Privacy Policy

We may update this Privacy Policy periodically. If changes are material, we will provide prominent notice (e.g., email, website announcement).
